This Data Retention Policy explains how long Track Right! keeps different types of data.

1. General Rule

Track Right! keeps data only as long as needed to provide the service, support business operations, resolve disputes, comply with legal obligations, protect security, and maintain records.

2. Account Data

Admin and employee account data may be retained while the account is active. After account deletion or deactivation, some information may remain for backup, audit, legal, billing, fraud prevention, or dispute purposes.

3. Business Workspace Data

Business workspace data may include business name, business code, branches, employees, schedules, attendance logs, payroll rules, reports, and billing plan details. This data is retained while the business account is active unless deleted by authorized users or required for legal/business reasons.

4. Attendance Logs

Attendance logs may be retained while the business account is active because they support payroll, reports, attendance review, and business records. Businesses are responsible for deciding how long they need attendance records for employment and accounting purposes.

5. Attendance Photos/Selfies

Photos may be deleted after the retention period unless retention is needed for security, dispute resolution, legal compliance, backup, or operational reasons.

6. Payroll and Report Files

Generated XLSX payroll and report files may be stored temporarily for export and upload. If Google Drive integration is enabled, copies may be uploaded to the connected Google Drive folder.

Track Right! is not responsible for files retained in the user's Google Drive after upload. Users can manage or delete those files directly in Google Drive.

7. Billing Records

Billing and payment verification records may be retained as needed for accounting, fraud prevention, customer support, dispute resolution, and legal compliance.

8. Google Drive Tokens and Folder IDs

If Google Drive is connected, Track Right! may store authorization tokens and folder identifiers needed to create folders and upload files. If the integration is disconnected, Track Right! may stop using those tokens. Some technical records may remain temporarily in backups or logs.

9. Logs and Backups

Security logs, system logs, and backups may be retained for a limited period to maintain service reliability, investigate issues, prevent abuse, and recover from incidents.

10. Deletion Requests

Users may request deletion by contacting trackrightph@gmail.com. Employees should first contact their employer or business admin for workplace records. Some records may not be deleted immediately if needed for legal, billing, security, backup, or legitimate business reasons.
